General Statement of Duties

The Music and Dance department at Salem State University is seeking a part-time staff assistant coordinator (22.5 hours/week) to assist with departmental operations. Responsibilities include assisting faculty with planning and logistics for concerts, workshops, camps, and other campus events; coordinating space and scheduling; overseeing equipment and facilities (including a 165-seat recital hall, MIDI lab, recording studio, and the Sophia Gordon Center for the Arts); and training and supervising student workers. This role involves contributing to social media and publicity, coordinating public-facing activities such as festivals and summer camps, and assisting with event production, including occasional work on evenings and weekends.

Please Note: This is a permanent, part-time, benefited position (22.5 hours per week).

Duties and Responsibilities

  1. Manages the scheduling and approval of requests to use music and departmental spaces including but not limited to the Recital Hall and Stanley rehearsal space. Helps oversee calendar for all department spaces. Schedules department requests for use by faculty and students. Screens, approves and schedules requests for non-department community use and/or rentals during the academic year and over the summer.
  2. Contributes to logistics for student orientations, auditions, workshops and other events, including room reservations, equipment, media and refreshments as needed.
  3. In collaboration with faculty, contributes to planning and coordination of events such as camps, workshops, festivals, and open houses.
  4. Assists in coordinating the planning of events with faculty and with the Center for Creative and Performing Arts.
  5. Assists with equipment moves for events.
  6. Assists in maintaining inventories of musical instruments and equipment, dance equipment, staging, and audio technology equipment.
  7. Assists in the collection of revenues from concerts, workshops and other events in a timely manner.
  8. Supervises, schedules, and plans the workload of all student employees including but not limited to dance production assistants, recording studio staff, MIDI lab monitors, ushers, stage hands, and event managers, equipment and facilities management, and Music Resource Center workers in accordance with the appropriate program coordinator’s direction and/or chairperson’s direction. Approves all student time sheets. 
  9. Assists with management of facility issues for departmental events, including help line and work requests for the multiple performance areas, teaching spaces, faculty offices and other locations.
  10. Assists with department communication including but not limited to the department social media presence. Coordinates with the Center for Creative and Performing Arts to assist in communicating about events.
  11. Attends departmental meetings.
  12. Demonstrate sensitivity to students, faculty, and staff of varying racial, ethnic, religious, gender, cultural, disability, sexual orientation, and socioeconomic background. Demonstrate sensitivity to students with diverse learning styles.
  13. Serve as a role model and mentor for students as appropriate.

Qualifications

Required Qualifications:

  1. Bachelors degree in related field.
  2. Experience in music and/or dance in academic environment.
  3. Prior supervisory experience
  4. Experience with the types and uses of general office equipment.
  5. Experience and proficiency with Microsoft Office suite.
  6. Experience and ability to work productively under time pressures and meet deadlines

Preferred Qualifications:

  1. One to two years of professional experience in arts event management, technical theatre production, or similar role
  2. Experience with music technology and related hardware/software
  3. Knowledge of current social media platforms and website content management
  4. Excellent interpersonal and written, oral and visual communication skills
  5. Ability to establish rapport and maintain harmonious working relationships with persons from varied ethnic, cultural and/or economic backgrounds

Working Conditions:

This is a part-time position in Salem, MA with on-campus, in-person responsibilities which may require frequent work on evenings and weekends.

 

Office activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and interaction with computer equipment; occasional bending, reaching, lifting, pushing and pulling up to 5-10 pounds.
