General Statement of Duties

The Coordinator for Housing Operations, Assessment and Outreach oversees the management of the student facing side of housing operations, the housing inbox, and the assessment and social media committee. They will assist in the recruitment, training, development, and evaluate student staff. In the summer they will serve as an operational manager for the Summer Conference Program co-supervising the Summer Housing Assistants. Serve as a judicial hearing officer in adjudicating policy violations. This is a 12 month, live-in position with on-duty responsibilities in addition to weeknight and weekend commitments on a regular basis. The primary goal of this position is to provide operational support to the department.

Duties and Responsibilities

  1. Advise and counsel individuals and groups of students on specific residence hall concerns regarding residence halls, room selection and personal concerns and issues.
  2. Demonstrate sensitivity to students, faculty and staff of varying racial, ethnic, religious, gender, sexual orientation, cultural, disability and socioeconomic backgrounds and learning styles.
  3. Preserve order within the hall by enforcing college and residence hall policies and ensuring compliance with university, local and state policies regarding alcohol and drugs; coordinate with University Police and other college offices as needed.
  4. Serve as secondary judicial hearing officer when needed, and adjudicate cases as assigned by the Associate Dean of Students or designee.
  5. Evaluate crisis and emergency situations and alert University Police and other college offices.
  6. Conduct ongoing health and safety inspections of rooms with student staff and assess operational processes and long-term planning of the halls; Responsible for appropriate and efficient referrals and for the safety and welfare of students.
  7. Make recommendations regarding residence facilities for handicapped students and ensures compliance of residence hall with Section 504 of the Rehabilitation Act of 1973.9.
  8. Serve in "on-call" rotation as scheduled and coordinate coverage during brief absences with Resident Directors and Graduate Staff.
  9. Attend regular staff meetings with Student Life, Dean of Students, Director of Residence Life and Associate Director of Residence Life, and Department of Residence Life.
  10. Assist in making necessary physical and policy arrangements in emergency occupancy overflow situations.
  11. Select, co-supervise, train, develop, evaluate and assist Graduate Staff in disciplinary matters for a staff of summer housing assistants and mail assistants; make recommendations for appointments and other personnel actions.
  12. Serve as a role model and mentor for students as appropriate.
  13. Attend and participate in all required trainings.
  14. Develop working relationships with the custodial and maintenance staff within the building. and the Assistant Director, Facilities Management to report needed repairs.
  15. Daily management of the Housing Email and front desk support outside of Graduate Assistant Hours.
  16. Provide support in administering mailbox/package guidelines, and other pertinent information including utilizing the key card access system and door programming for the residence halls.
  17. Work in the Residence halls during peak periods and assist in opening and closing procedures for all break periods (Summer, Winter, Thanksgiving and Spring).
  18. Oversee and coordinate the development and implementation of activities and programs within the halls, such as the Housing Selection fair, promoting housing selection and processes.
  19. Coordinate housing engagement/promotion at admitted student days, open houses, etc., and assist in developing large scale first six weeks Viking Voyage events with Associate Director.
  20. Coordinate website management with IT, to ensure all Residence Life information is correct and updated in a timely manner.
  21. Manage Residence Life instagram, advertising and other social media efforts to present our initiatives out to campus and broader audience.
  22. Serve as the chair for the Assessment and Social Media Committee under advisement from the Associate Director of Residence Life and on other committees as assigned.
  23. Coordinate assessment initiatives to document and report on residence life outcomes and gauge student engagement and perceptions of residence life.
  24. Assist in the preparation of various publications about residence life for students and staff.
  25. Promote and attend university events and programs; Represent the department/university at professional meetings.
  26. Provide back-up assistance to Assistant Director of Housing Operations in cases of illness, vacation, or emergency; provide and coordinate pre-arranged coverage for, by and with other Residence Life personnel.
  27. Assist with departmental projects and initiatives as assigned by the Assistant/Associate Director/Director of Residence Life.
  28. Other duties as assigned by the Assistant/Associate Director/Director of Residence Life.

Qualifications

Required Qualifications:

  • Bachelor’s degree.
  • At least 2 years of experience working in residence life or a related field in a live-in residential position.
  • Familiarity with housing operations, including key card access systems, mailbox/package management, and emergency procedures.

Preferred Qualifications:

  • Master's degree higher education or a related field.
  • Understanding of compliance with university, local, and state policies regarding alcohol, drugs, and disability accommodations.
  • Proficient in website and social media management and Microsoft Office Suite.
  • Experience in managing student conduct and judicial affairs.

Working Conditions:

This is an on-site, live-in position in Salem, MA which includes an on-campus apartment and meal plan. This role requires a flexible schedule and occasional work on evenings and weekends, including after-hours on-call duty rotation.

 

Office activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and interaction with computer equipment; occasional bending, reaching, lifting, pushing and pulling up to 5-10 pounds.
