General Statement of Duties

The School of Continuing and Professional Studies (DGCE) is seeking applicants with excellent communication, technical, and organizational abilities to join our team as an Administrative Assistant I. In this role, you'll play a crucial part in providing technical and clerical support, responding to inquiries, and assisting non-credit students with registration challenges. You'll supervise student workers, manage office coverage, coordinate observation schedules, and handle the dean's calendar and travel arrangements efficiently. Additionally, you'll be responsible for ordering office supplies, processing payments, purchase orders, and other expenses. Field trip coordination and managing DGCE faculty personnel files through the OnBase system are also part of this dynamic role. Hours: 8:30am-5pm, M-F

Break: One hour

Salary: $51,201.80

Duties and Responsibilities

  1. Document image all DGCE faculty personnel files utilizing OnBase system
  2. Add new contracts to faculty digital file each term
  3. Solicit and document image course syllabi each term
  4. Each semester produces and distributes Dean’s certificates to eligible students
  5. Manages the office coverage calendar
  6. Each academic session, determine which DGCE faculty need classroom observations by running report in PeopleSoft
    1. Discern which class will be observed
    2. Communicate with appropriate department chairperson
    3. Respond to questions.
    4. Collect and input completed document in OnBase and mark as complete in PeopleSoft
  7. Order office supplies
  8. Assist non-credit students with any registration challenges in the third-party providers (Ed2Go, Mind Edge)
  9. Complete payment vouchers and PO’s for third-party vendors
  10. Solicit from faculty teaching one-week institutes expenses to be covered by the institute fee
    1. Arrange for payment of guest speakers
    2. Assist in arranging for the ordering of supplies
    3. Assist in the arranging of field trips
  11. Supervise the student workers
  12. Manage the dean’s calendar and travel as needed
  13. Performs other duties as assigned

Qualifications

Minimum Entrance Requirements:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.

  

Substitutions:

  1. An associate or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*
  2. An associate or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Preferred Qualifications:

  1. Two years of experience working in a higher education setting
  2. Excellent written, oral, and interpersonal skills
  3. Ability to learn technological solutions (OnBase, PeopleSoft, MS Outlook)
  4. Demonstrated high level discretion and sound judgement with confidential information
  5. Ability to manage competing demands, set priorities, and provide timely responses to urgent issues
  6. Fluency in second language, Spanish strongly preferred

Working Conditions:

This is a on-site, in-person position in Salem, MA. 

 

Office activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and interaction with computer equipment; Occasional bending, reaching, lifting, pushing and pulling up to 5 pounds.
