  • General Statement of Duties

    Salem State is seeking a hands on leader to supervise the administration of the student accounts receivables and collections at the university. Responsibilities include managing all student account functions, including student billing, cashiering operations, posting of federal and state financial aid, timely issuance of student refund checks, monitoring and management of delinquent collection balances, ensuring superior customer service to students, faculty and staff and managing third party vendors.  The director of student accounts will have a direct connection to and coordinate with the university’s general accounting office to ensure that policies and procedures are consistent and current. The student accounts office is located in the Student Navigation Center (One Stop Shop) and the director will be responsible for ensuring that the student accounting area collaborates with and provides support to the service team.

    Duties and Responsibilities

    1. (E) Responsible for all student account functions, including: student billing, cashiering operations, posting of federal and state financial aid, timely  issuance of student refund checks, monitoring and management of delinquent collection balances, managing third party vendors, collaborating with the accounting office and ensuring superior customer service to students, faculty and staff
    2. (E) Lead the student accounts team in implementing best practices, designing and reporting of student account metrics, and creating a communication sequence from the master operations calendar
    3. (E) Supervise the billing, collecting, refunding, and accounting of student tuition, fees, room, board, health insurance and miscellaneous charges for the university and its satellite campuses
    4. (E) Provide timely, knowledgeable and courteous responses to all internal and external service requests
    5. (E) Lead the efforts on post graduate loan counseling for the university
    6. (E) Supervise the collection and depositing of University cash receipts, including student receivables, and any relevant auxiliary enterprises. Oversee the timeliness of the posting to student accounts for requested Title IV and other financial aid
    7. (E) Assist the accounting office with various accounting, reconciling and internal control matters as deemed appropriate in regard to the university’s reporting system and in the governance of federal and state financial aid programs
    8. (E) Supervise the management of the student loan collection function
    9. (E) Supervise and monitor the related internal controls over university cash receipts including certain auxiliary services
    10. (E) Supervise student collections, including the development, implementation, and monitoring of policies and procedures for delinquent student accounts
    11. (E) Supervise the disbursement of all student financial aid awards, and loans to student accounts and any subsequent student refunds
    12. (E) Supervise student accounts staff and their compliance with regulations governing certain financial aid and student loan collections as required by law, user manuals and regulatory updates
    13. (E) Supervise monthly reconciliation cycles of student accounts with financial aid and the accounting office regarding the Department of Education, third party loan servicer(s), and the university’s accounting system to ensure accuracy, timeliness, and integrity of fiscal record keeping
    14. (E) Supervise the accounting of and the preparation of relevant, supporting information to be included in fiscal reports for various student aid programs, including but not limited to; the FISAP, Nursing Loan Annual Operation Report, Defaulted Loan Report, and Quarterly Debt Management Report
    15. (E) Oversee the management of the State Intercept Program for all eligible accounts
    16. (E) Review, monitor, implement and recommend improvements to internal control policies and procedures as it relates to employees and functions within department(s), purview and/or area
    17. (E) Participates in designing and administering assessment activities to foster continuous improvement and accountability related to areas of responsibility
    18. Assist the assistant vice president with special projects and reports
    19. Other related duties necessary for the operation of the student accounts area
    20. Serve on committees as assigned by the President or designee
    21. Demonstrate sensitivity to students, faculty and staff of varying racial, ethnic, religious, gender, cultural, disability, sexual orientation and socioeconomic backgrounds
    22. Demonstrate sensitivity to students with a diversity of learning styles
    23. Serve as a role model and mentor for students as appropriate
    24. Regularly utilize MAP-Works in support of student success


    Required Qualifications:

    1. Bachelor’s degree in finance, accounting, business or a related field
    2. Five years of progressive student accounts management
    3. Previous supervisory experience 
    4. Knowledge of  federal and state regulations governing Title IV funds
    5. Knowledge of student accounts, accounting, student financial services and higher education principles, practices, and procedures
    6. Knowledge of structures, practices, and procedures of accounting
    7. Knowledge of a student information system (People Soft preferred)
    8. Experience managing budgets for accounts receivable operations

    Preferred Qualifications:

    1. Master’s degree in finance, accounting, business or a related field
    2. Excellent written communication and presentation skills
    3. Ability to work effectively with professional, classified, and student personnel
    4. Strong financial management and customer service skills
    5. Strong leadership and team building skills
