General Statement of Duties

The business operations manager serves as functional/business systems manager and analyst in business affairs  and supports departmental staff and management on systemic and functional matters for all areas reporting to business affairs. Such areas include but are not limited to mailroom, printing/copying, shipping/receiving, asset management, purchasing, ClipperCard and other auxiliary related areas of the university. Develops and maintains operational and systemic documentation for staff reference and managerial oversight. Provide managerial and technical oversight and support in business areas during absences of staff and/or management.

Duties and Responsibilities

  1. (E) Provide managerial oversight and counsel as needed in support of Business Affairs and Auxiliary operations, including: mail services, copy center, university-wide copy/print fleet, shipping & receiving, asset tracking, vehicle management, surplus equipment, purchasing, ClipperCard and other auxiliary areas as directed
  2. (E) Provide functional and technical expertise in the development, implementation and maintenance of various business-related operational equipment, systems and processes
  3. (E) Develops and maintains business systems documentation including training manuals, user guides, business process flowcharts and report generation requirements. Leads and assists in the development, coordination, testing, documentation and implementation of all business area applications whether a current system upgrade or new system initiative
  4. (E) Download, manipulate and manage large amounts of complex data from various sources and summarize same in a concise manner for management and staff decision making
  5. (E) Keep current with all applicable vendor system upgrades and advancements and advise management of the impact of same
  6. Work with staff to develop and maintain efficient, timely, and verifiable accounting and chargeback mechanism for financial reporting purposes
  7. Serves as first line of support for Business staff in identifying problem situations, troubleshooting as necessary, and determining when escalation to other support areas is appropriate
  8. Review, monitor, implement and recommend improvements to internal control policies and procedures as it relates to employees and functions of the business area
  9. General customer service and outreach duties associated with area
  10. Provide management and operational continuity for business areas as needed during vacancies or other absences of management and/or staff
  11. Facilitates and supports record management of designated university assets, inventory, and equipment and all related functions associated with their management
  12. Serve as representative on task forces, committees, departmental meetings or other collaborative efforts of the university as necessary and as assigned



Required Qualifications:

  1. Bachelor's degree preferably in business, operations management, or management information systems (MIS)
  2. Must have the demonstrated ability to independently identify, triage and resolve complicated business systems issues
  3. Wide knowledge of multiple automated systems, operating environments, databases, system controls, business applications and programs
  4. Advanced skills in desk top business applications e.g. Microsoft Word, Excel, Access, PowerPoint, database query tools, use of SQL and building queries, report generation

Preferred Qualifications:

  1. Experience in developing documentation, flowcharts, training material in cohesive and  informative manner
  2. Experience in providing systems support to end users involved in mission critical business services
  3. Experience in a lead capacity with hardware and software projects from development stage through implementation
  4. Substantial experience with large volume financial and/or operational transaction processing systems
