General Statement of Duties

Working under the leadership of the Associate Vice President the primary goal of the staff assistant’s work is to build donor trust through consistent and meaningful contact from the university. S/he will collaborate with university leadership, gift officers, marketing/creative staff, and key volunteers to develop and implement strategies for effective and timely acknowledgement, recognition, and stewardship of alumni, donors, and other friends and partners of the university. S/he will draft communications, coordinate mailings, and complete special projects as required. S/he will also utilize data to assess and improve stewardship processes on a periodic basis.

Duties and Responsibilities

  1. Work with major gift officers, and appropriate staff and faculty on campus, in developing and implementing stewardship strategies that strengthen long-term relationships with major donors
  2. Coordinate and improve existing donor recognition systems, including gift, letter of intent, Crosby Society membership letters and pledge acknowledgments; special correspondence; customized reports; naming opportunities; and event-related stewardship such as acknowledgements, host gifts, and photo distribution (but not event logistics)
  3. With marketing and creative services and university facilities departments, coordinate the creation and installation of campus memorial/honorarium plaques and donor signage. Develop and manage a system for reserving and tracking new and existing naming opportunities across the university. Work in partnership with staff to identify and develop recognition opportunities
  4. Ensure that details of stewardship plans are compiled and communicated to all involved parties, and that the plan is documented, implemented and included in the moves management system
  5. Collaborate with fundraising staff to develop acknowledgment and recognition procedures for major and leadership gifts that are consistent across audiences
  6. Identify best practices at other organizations for stewardship planning and operation
  7. Assist in the development of a comprehensive stewardship and donor relations plan and lead the implementation of individualized stewardship projects for major donors, giving societies, and affinity groups
  8. Partner with gift officers in preparing gift agreements with donors, while providing ongoing stewardship to current and former donors
  9. With advancement services staff responsible for records management, develop and implement protocols to capture information about student scholarship recipients and phonathon students in order to steward them as an affinity group
  10. With Salem State University Foundation staff, coordinate annual reporting to scholarship and endowment donors with information about fund progress and student recipients
  11. With web/social media team members, develop strategies for integrating traditional stewardship methods with existing and emerging digital platforms
  12. Coordinate acknowledgement, condolence, birthday, and congratulatory communications as requested by the university president, vice president for institutional advancement, and other advancement officers/prospect managers
  13. Coordinate maintenance of complete, up-to-date benefactor profiles(biographical, and historical) on all scholarships, making sure such information is properly updated in AcademicWorks and Raisers Edge and helps to enhance benefactor involvement in the annual scholarship event
  14. Work independently and set goals and objectives for operations that fall within the scope of this position, supporting the institutional advancement and universities goals
  15. Manage a student employee
  16. Demonstrates sensitivity to students, faculty and staff of varying racial, ethnic, religious, gender, cultural, disability, sexual orientation and socioeconomic backgrounds
  17. Serves as a role model and a mentor for students as appropriate and demonstrates sensitivity to students with a diversity of learning styles

Qualifications

Required Qualifications:

  1. Bachelor’s degree
  2. 1-3 years of relevant donor cultivation and communications experience
  3. Broad-based experience in fundraising, preferably in education/higher education, including the day-to-day use of constituent relationship management systems
  4. Strong planning, problem solving, and organizational skills
  5. Demonstrated ability to communicate effectively and clearly, both orally and in writing
  6. Experience leading and demonstrating techniques associated with developing collaborative and effective partnerships
  7. Strong time management skills and ability to organize, prioritize and complete multiple tasks simultaneously with close attention to detail in order to meet deadlines
  8. Demonstrated ability to exercise good judgement, discretion and tact concerning confidential matters
  9. Proficiency using Microsoft Office Suite

Preferred Qualifications:

  1. Two years of stewardship experience
  2. Previous supervisory experience
  3. Previous experience in a higher education environment
  4. Working knowledge of Raiser's Edge, Fundriver and AcademicWorks
